A Quick Guide to Streamlining Your HR Department with ESM

What’s the first thing that comes to mind when you think of the human resources department? For some people, they think of enforcement of policies and procedures; but for many others, the first word that pops in their head is “inefficiency.” They associate the HR department with time-consuming, tedious processes that simply waste resources. 

This is an unfortunate association, though it’s not one that has to haunt the HR department. Enterprise service management can help by making processes more efficient. Read on to learn how it can streamline the following processes: onboarding, vacation approval, and termination. 

Making the Onboarding Process More Efficient

Do you remember your first day at your new job? For some people, those memories aren’t pleasant. They recall waiting around until someone got their phone, desk, and computer set up, which in some cases can take hours or even longer. 

The onboarding process doesn’t have to leave employees waiting. ESM solutions can speed up onboarding through automation. Instead of the HR department filling out paperwork and submitting it to the IT department (then waiting for IT to fulfill the request), team members can navigate to a self-service module or open a chatbot window to type in the services the new employee needs to access.

An ESM solution will be connected to any downstream systems to which the employee will need for his or her job. The ESM solution will use business logic to determine whether the request should be granted or not, and if access is granted, the employee can start working immediately.

Making the Vacation Request Process More Efficient

How does your HR department track and grant vacation requests? At many companies, the process is highly manual; an employee submits a request either through paper or by email, and someone in the HR department has to track how many days the employee has accrued or used, as well as how many other employees are planning on absences during that time period. 

Again, ESM solutions automate that process. An employee navigates to a self-service portal or opens a chatbot window and types in the request for time off. The ESM solution has access to the employee’s accrued vacation days and previous usage as well as to the corporate calendar, making the request fulfillment or denial process immediate. 

Making the Termination Process More Efficient

The HR department’s job doesn’t end when an employee leaves. In fact, there’s still work to be done after an employee is fired or quits. His or her accounts must be deactivated, for a start. 

The deactivation process (known in the IT world as “deprovisioning”) is crucial – it prevents ex-employees with a grudge from logging into your accounts and wreaking havoc on your systems. Yet, it’s a challenge for HR departments, because they don’t always keep track of what systems employees use.

An ESM solution solves that challenge – it tracks permission to corporate systems. When an employee leaves, a member of the HR team enters the ESM solution, types in that an employee has left, and the ESM solution can do the deprovisioning automatically.
